Those backups should be tested regularly, in line with the company\u2019s standard backup procedures.<\/span><\/p><p><span style=\"color: #000000;\">Data should never be saved directly to laptops or other mobile devices like tablets or smart phones.<\/span><\/p><p><span style=\"color: #000000;\">All servers and computers containing data should be protected by approved security software and a firewall.<\/span><\/p><p><span style=\"color: #000000;\">When personal data is accessed and used that it can be at the greatest risk of loss, corruption or theft:<\/span><\/p><p><span style=\"color: #000000;\">When working with personal data, I should ensure the screens of their computers are always locked when left unattended.<\/span><\/p><p><span style=\"color: #000000;\">Personal data should not be shared informally. I am also responsible for ensuring requests for assistance and support made via social media are followed up.<\/span><\/p><p><span style=\"color: #000000;\">The power of social media<\/span><\/p><p><span style=\"color: #000000;\">I recognise that social media ofers a platorm for ZRT to perform mar etng, stay connected with customers and build its profle online.<\/span><\/p><p><span style=\"color: #000000;\">The company therefore encourages employees to use social media to support the company\u2019s goals and objectves.<\/span><\/p><p><span style=\"color: #000000;\">Basic advice<\/span><\/p><p><span style=\"color: #000000;\">Regardless of which social networ s employees are using, or whether they\u2019re using business or personal accounts on company tme, following these simple rules helps avoid the most common pitalls:<\/span><\/p><p><span style=\"color: #000000;\">Know the social network. Employees should spend tme becoming familiar with the social networ before contributng. It\u2019s important to read any FAQs and understand what is and is not acceptable on a networ before postng messages or updates.<\/span><\/p><p><span style=\"color: #000000;\">If unsure, don\u2019t post it. Staf should err on the side of cauton when postng to social networ s. If an employee feels an update or message might cause complaints or ofence \u2014 or be otherwise unsuitable \u2014 they should not post it. Staf members can always consult the [social media manager] for advice.<\/span><\/p><p><span style=\"color: #000000;\">Be thoughtul and polite. Many social media users have got into trouble simply by failing to observe basic good manners online.<\/span><\/p><p><span style=\"color: #000000;\">Look out for security threats. I should be on guard for social engineering and phishing atempts. Social networ s are also used to distribute spam and malware. Further details below.<\/span><\/p><p><span style=\"color: #000000;\">Keep personal use reasonable. Although I believe that being actve on social media can be valuable both to those employees and to the business, I should exercise restraint in how much personal use of social media they ma e during wor ing hours.<\/span><\/p><p><span style=\"color: #000000;\">Don\u2019t make promises without checking. Some social networ s are very public, so I should not ma e any commitments or promises without chec ing that I can deliver on the promises.<\/span><\/p><\/div><\/div><div class=\"layoutArea\"><div class=\"column\"><p><span style=\"color: #000000;\">General social media guidelines<\/span><\/p><\/div><\/div><\/div><div class=\"page\" title=\"Page 3\"><div class=\"section\"><div class=\"layoutArea\"><div class=\"column\"><p><span style=\"color: #000000;\">Handle complex queries via other channels. Social networ s are not a good place to resolve complicated enquiries and customer issues. It\u2019s easy to post a quic response to a contentous status update and then regret it. The only incidence where I may be &#8216;friends&#8217; with a service user is if there were a preexistng &#8216;friend&#8217;.<\/span><br \/><span style=\"color: #000000;\">This is to avoid a blurring of therapeutc\/friend lines as per my boundaries statement.<\/span><\/p><p><span style=\"color: #000000;\">The value of social media<\/span><\/p><p><span style=\"color: #000000;\">ZRT recognises that my personal social media accounts can generate a number of benefts. Security and data protecton<\/span><\/p><p><span style=\"color: #000000;\">Employees should be aware of the security and data protecton issues that can arise from using social networ s.<\/span><\/p><p><span style=\"color: #000000;\">Maintain confdentality<\/span><\/p><p><span style=\"color: #000000;\">Users must not:<\/span><br \/><span style=\"color: #000000;\">Share or lin to any content or informaton owned by the company that could be considered<\/span><\/p><p><span style=\"color: #000000;\">confdental or commercially sensitve.<\/span><br \/><span style=\"color: #000000;\">This might include sales fgures, details of past, present or future clients, or informaton<\/span><\/p><p><span style=\"color: #000000;\">about future strategy or mar etng campaigns.<\/span><br \/><span style=\"color: #000000;\">Share or lin to any content or informaton owned by another company or person that could be<\/span><\/p><p><span style=\"color: #000000;\">considered confdental or commercially sensitve.<\/span><br \/><span style=\"color: #000000;\">For example, if a compettor\u2019s mar etng strategy was lea ed online, employees of ZRT should not<\/span><\/p><\/div><\/div><\/div><div class=\"page\" title=\"Page 6\"><div class=\"section\"><div class=\"layoutArea\"><div class=\"column\"><p><span style=\"color: #000000;\">menton it on social media.<\/span><\/p><p><span style=\"color: #000000;\">Share or lin to data in any way that could breach the company\u2019s data protecton policy.<\/span><\/p><p><span style=\"color: #000000;\">Protect social accounts<\/span><\/p><p><span style=\"color: #000000;\">My social media accounts should be protected by strong passwords that are changed regularly and shared only with authorised users.<\/span><\/p><p><span style=\"color: #000000;\">Wherever possible, employees should use two-factor authentcaton (ofen called mobile phone verifcaton) to safeguard company accounts.<\/span><\/p><p><span style=\"color: #000000;\">Staf must not use a new piece of sofware, app or service with any of the company\u2019s social media accounts without receiving approval.<\/span><\/p><p><span style=\"color: #000000;\">Avoid social scams<\/span><br \/><span style=\"color: #000000;\">I should watch for phishing atempts, where scammers may atempt to use decepton to obtain<\/span><\/p><p><span style=\"color: #000000;\">informaton relatng to either the company or its clients.<\/span><\/p><p><span style=\"color: #000000;\">I should never reveal sensitve details through social media channels. Clients identtes must always be verifed in the usual way before any account informaton is shared or discussed.<\/span><\/p><p><span style=\"color: #000000;\">I should avoid clicking links in posts, updates and direct messages that loo suspicious. In partcular, users should loo out for URLs contained in generic or vague-sounding direct messages.<\/span><\/p><p><span style=\"color: #000000;\">Monitoring social media use<\/span><\/p><p><span style=\"color: #000000;\">Company IT and internet resources \u2014 including computers, smart phones and internet connectons \u2014 are provided for legitmate business use.<\/span><\/p><p><span style=\"color: #000000;\">ZRT therefore reserves the right to monitor how social networ s are used and accessed through these resources.<\/span><\/p><p><span style=\"color: #000000;\">Any such examinatons or monitoring will only be carried out by myself.<\/span><\/p><p><span style=\"color: #000000;\">Additonally, all data relatng to social networ s writen, sent or received through the company\u2019s computer systems is part of ofcial ZRT records.<\/span><\/p><p><span style=\"color: #000000;\">The company can be legally compelled to show that informaton to law enforcement agencies or other partes.<\/span><\/p><p><span style=\"color: #000000;\">Potental sanctons<\/span><\/p><p><span style=\"color: #000000;\">Knowingly breaching this social media policy is a serious mater.
